Absentee Ballot Procedures

1. Pre-printed applications for absentee ballots, listing the aforementioned qualifications, shall be mailed by the local or district. Candidates running for office also may make forms available.

2. A written request for an absentee ballot must be delivered by the requestee either in person or by official government mail to the recording secretary not later than fifteen (15) days prior to the election.

3. If they Bylaws permit, absentee ballot requests may also be submitted to an email address dedicated for that purpose and provide the notice of nomination and election included the email address. Such emailed requests must be submitted not later than fifteen (15) days prior to the election.

4. The recording secretary and secretary-treasurer shall verify the reason indicated by the member for requesting an absentee ballot at the time the request is received. Within 5 business days from receipt of any such request or receipt of printed ballots, whichever is later, the recording secretary and secretary treasurer shall mail the ballot if the member is eligible to vote by absentee ballot. In the event the recording secretary or secretary-treasurer determines that the member is not eligible to vote by absentee ballot, he/she shall advise the member that the request for an absentee ballot has been denied and the reason for that determination within five (5) business days of the receipt of the request, so that the member has adequate notice of the need to vote in person.

5. When an eligible member receives an absentee ballot, that ballot must be executed in accordance with the terms of the IAM Constitution and mailed by official government mail so that it will be received by or prior to the closing of the polls, as specified in the notice of election. The absentee ballots shall then be turned over to the tellers.

6. Under no circumstances may absentee ballots be bundled or returned together. The absentee ballot must be returned by the member through official government mail in its own envelope.

Introduction

IAMAW District 725 (“we” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use and safeguard information when you opt in to our SMS program. By enrolling, you agree to these terms, which comply with the 2025 Telephone Consumer Protection Act (TCPA), Campaign Registry requirements and CTIA Best Practices.

1. Information We Collect

• Phone Number – The mobile number you provide to receive SMS messages.
• Message Interaction Data – Delivery and engagement metrics such as delivery status and response keywords.
• Consent Records – Timestamps and methods of opt in (e.g., web form, keyword, verbal or paper consent).

2. How We Use Your Information

• Send SMS messages (notifications, updates and reminders) according to your opt‑in preferences.
• Demonstrate regulatory compliance with TCPA (2025) and Campaign Registry requirements.
• Improve messaging and measure engagement.

3. One‑to‑One Consent Requirement

Under the January 2024 FCC ruling, your opt‑in consent applies solely to IAMAW District 725. We do not share or transfer your consent to any third parties or affiliates unless you expressly agree.

4. Message Frequency & Data Rates

Message frequency varies based on notification needs but will not exceed 3–5 messages per day unless there is an event that requires additional notifications. Message and data rates may apply; please check your carrier’s terms.

5. Opt‑Out & HELP Instructions

• Text "STOP" to any message to unsubscribe immediately.
• Text "HELP" for assistance or contact us at jmauldin@iam725.org or (619) 906‑0934.

6. Data Sharing & Disclosure

• We never sell your data.
• We may share data with service providers (e.g., carriers) solely for SMS delivery and regulatory compliance, under strict confidentiality.
• National Do Not Call Registry protections apply to SMS. We honor existing Do Not Call registrations unless you opt in.

7. Security of Your Information

We implement reasonable measures to protect your data; however, no system can guarantee absolute security.

8. Record‑Keeping & Proof of Consent

We retain all opt‑in and opt‑out records—including timestamps and methods of consent—to comply with TCPA 2025 and Campaign Registry guidelines.

9. Changes to This Policy

We may update this Privacy Policy as laws evolve. Material changes will be communicated via SMS or posted on our website. Continued participation after updates constitutes acceptance of the revised policy.
